Introduction

In our previous guide, we learned how to create dynamic templates within the PDF Maker Airtable extension. This article focuses on utilizing those templates to generate PDFs directly from your Airtable data. Whether you need single documents or multiple PDFs in bulk, this guide provides clear steps to streamline your workflow.

Step-by-Step Guide:

Step 1: Open the Generate PDF Tab

After logging into Airtable, navigate to the PDF Maker extension. Click on the "Generate PDF" tab to start generating your documents.

Step 2: Selecting Your Template

In the "Generate PDF" tab, select the template you previously created from the dropdown list. For this guide, we are using the "demo template," previously covered in our template creation guide.

Step 3: Specify Attachment Field for PDF Storage

Next, select an attachment field from your Airtable table where the generated PDFs will be saved. Ensure that the field chosen is specifically an attachment field.

Step 4: Setting Custom PDF Names

You have the option to enable a custom name for your PDFs by toggling the feature on. When enabled, select the appropriate Airtable field whose values will serve as the file names for the PDFs, such as "Contract ID."

Step 5: Generating Single or Bulk PDFs

  • To generate a single PDF, select only one record from your Airtable table.

  • To generate multiple PDFs at once, select multiple records.

After making your selection, click on the "Generate" button.

Step 6: Download and Review Generated PDFs

PDF generation usually takes about 5-10 seconds. Once completed, the PDFs will appear in the designated attachment field within your Airtable records. Review and download as needed.
